Implementing a new system within an organisation can be a challenging endeavour, often met with resistance and hurdles. However, effective user training is key to ensuring a smooth transition and minimising resistance to change.

Varied Training Methods for Ensuring Success

After investing significant time and money in new technology, the last thing a business wants is employees resisting change. It is imperative that a variety of training methods are deployed to ensure users are well-prepared for new systems.

In-Person Training Sessions

One of the primary training methods is conducting in-person sessions. These sessions enable the Acclario IT delivery team to interact directly with users, answer questions in real-time, and provide hands-on demonstrations of the new system. Project Manager Hailey Abraham emphasises, “Being in person and in front of them is a significant opportunity for us to not only get to know the team but also help them feel comfortable as they embark on this journey.” This face-to-face interaction fosters trust and rapport between the delivery team and users, enhancing the training process.

Reflecting on a recent project, Hailey also highlighted the importance of user acceptance testing (UAT). “We conducted workshops where we demonstrated a sample system, explained its workings and differences from the current system, and then gathered user input,” she explained. This hands-on approach allows users to familiarise themselves with the new system and provide valuable feedback, taking them on the journey.

User Guides

Comprehensive guides are provided to users, documenting every process they need to perform in the new system. These guides serve as a reference, ensuring users have a fallback if they forget any steps from the training sessions. Tailored to different user roles, the guides include detailed instructions on various functionalities of the new system.

Instructional Videos

To cater to different learning preferences, instructional videos are created for various segments of the new system. These videos offer visual and auditory explanations of the system’s features, making it easier for users who prefer watching over reading. Designed to be concise and focused on specific tasks, the videos allow users to quickly find the information they need.

Smooth Transition

The comprehensive training approach, including in-person sessions, user guides, and instructional videos, ensures that users are well-prepared to transition to new systems. Hailey Abraham highlights that initial client feedback is often positive, with project teams pleasantly surprised by the minimal resistance encountered when switching systems. This smooth transition is a testament to the effectiveness of the training provided.

By investing in a variety of training methods, organisations can significantly enhance users’ ability to adapt and reduce resistance to change.
